In Interview Coordinator a person who is participating in the recruitment process is called a campaign contributor. The Campaign Contributors sub-section of a campaign record will displays a list of these contributors.
Campaign contributors are classified depending on the role they play within the recruitment process. Each contributor is also granted a series of permissions depending the role they are undertaking.
A contributor designated as the Hiring Manager is the person who will administer and manage the recruitment process. This person may or may not be the person who will make all the final hiring decision. Only one contributor can be designated as the Hiring Manager and this person will have full access to all information and functions relating the campaign.
A standard Contributor is any person who works for the hiring organisation who will collaborate with the Hiring Manager to help pick the right person for the vacancy.
An External Agent is normally a person from outside the hiring organisation (or perhaps in a different Department) who may be invited to collaborate and contribute to a specific recruitment campaign, but only in a limited way.
The contributor designated as hiring manager (or any “Admin” level user) can associate as many contributors with a campaign as they think appropriate. When a contributor is added to a campaign, that campaign will automatically display on the list of Active Campaigns shown when the contributor logs in to Interview Coordinator.
To Add a new contributor to a Campaign
Navigate to the Campaign Contributors tab of the Campaign record. Select the Add -> Campaign Contributor option from the menu bar. The Select Contributors page will be displayed. This page will allow you to search for all the existing users/contributors already added to your Interview Coordinator account.
To find an existing user, enter the appropriate search criteria and click the orange Search Button. The list of existing users matching the search criteria will be shown in the result frame. To add one or more Contributors to the campaign, tick the appropriate search result(s) and select the Add -> Add Contributor to Campaign
To create an entirely new User/Contributor click the Add -> Create Contributor option.
(See Creating a new User/Contributor for more details.)
Contributor Campaign permissions
When a Contributor is added to a campaign they are assigned a default set of campaign permissions
(See User Permissions for further details on the permissions given to different types of contributors)
Standard Contributors or External Agents can only view the list of co-collaborators on the current campaign. However the Hiring Manager can Add and Delete contributors, change their Permissions for the current campaign, update the Next Action field and Send Emails reminding contributors of their next task on the campaign.
Change campaign Permissions
The Hiring Manager can assign a range of campaign specific permissions to each contributor depending on what tasks they will be performing on the campaign. To view or edit the contributor campaign permissions, select the appropriate tick box and click the View/Edit button from the button bar.
From the Contributor screen, the Hiring manager can set whether the contributor can View or Upload Candidates, Add Opinions or Create Questions for the list of interview questions. (See User Permissions for more details on contributor permissions)
Update Next Action
To update the Next Action indicator for any specific contributor, select the appropriate tick box and click the View/Edit button from the button bar. From the Contributor screen, the Hiring manager can update the next Action field.
Send reminder emails
The Hiring Manager can also send emails to other contributors to remind them of their next task or action on the current campaign. To send a reminder email to one or more contributors, select the appropriate tick box(es) and click the Send Email button from the button bar. An email which indicates the contributors’ next action will be sent each selected contributor.
