The combination of the Interview Coordinator and IC_CE_Pro candidate application pages will allow you to configure the following aspects of the candidate application process:
- The vacancy advert (or description )
- The candidate application instructions
- The candidate application confirmation message
- The number and content of any documents which are associated with the vacancy advert
- The number of documents (maximum 3) and type of documents the candidate is asked to upload as part of their application for the vacancy
- The number and content of the application questions the candidate is asked to answer as part of their application for the vacancy
- The content of the notification email sent to the candidate on completion of their application
Configure the vacancy advert content
The “Advert” or “Description” content for a Vacancy displayed in the IC_CE_Pro pages is derived from the Campaign->Campaign Ad Content->HTML field in Interview Coordinator.
From the Campaign Ad Content tab, you can type or paste any text or html content directly into the HTML field and it will be saved to the database as it has been entered. When you Post the vacancy to the “INHOUSE” job board, the content in the HTML field will be exported to an XML file, then read by the IC_CE_Pro pages and displayed as the vacancy Description
Optionally, you can use the “View Wysiwyg” option to use the HTML editor to format your vacancy advert content.
PLEASE NOTE : Different html editors format html in different ways. Therefore using the IC HTML wysiwyg editor to edit html created in another editor can sometimes cause problems. We would always recommend the use of a single html editor to edit / format any html
Please also be aware : the IC_CE_Pro pages are fully “responsive” for most screen sizes. The html content you create/paste into the Campaign Ad Content HTML field is displayed in an iFrame on the VacancyDetails.html page, so, if it is important that your job adverts are also properly displayed on all screen sizes, then you should be careful to ensure that any html ad content is also fully responsive.
Configure the Candidate Application Instructions
You can configure each campaign either to show a set of instructions on how to apply for the vacancy or not show any instructions. This option will affect the number of “wizard” steps in the candidate application process.
If you configure the campaign to show application instructions, you can also customise the instructions content.
To configure the campaign to show application instructions login into IC, select the campaign to be edited and select the “Campaign Settings” option on the “Campaign Details” tab
Tick the “Show Apply Instructions” tick box. The Apply instructions message” field will appear. Add an instruction message template from the drop down lost.
You can edit the “Custom message” templates using the “Admin->Edit Account Variables->Custom messages” function from the IC Home page
Configure the Candidate Application Confirmation message
You can configure the message shown to the candidate when they have completed the full Candidate Application Process.
The message template name is read from the <ApplicationConfirmationMessage> node in the XML file. The default value is this :-
<ApplicationConfirmationMessage>Cand-apply-confirmation-message</ApplicationConfirmationMessage>
The value must correspond to a message template name in the IC Custom messages list.
You can edit the “Custom message” templates using the “Admin->Edit Account Variables->Custom messages” function from the IC Home page
Configure the number and content of documents associated with the vacancy advert
For some vacancies it can be beneficial to provide potential candidates with access to documents which support the information published in the vacancy advert / description or are used as part of the application process. Examples might include : detailed job specifications; formatted application; candidate survey forms; etc.
Interview Coordinator allows you to associate multiple documents with each recruitment campaign and choose whether those documents are “published” to the IC_CE_Pro vacancy pages
To add a document to a IC Campaign record, click the appropriate Campaign from the Active Campaign list. Navigate to the Campaign Documents tab and click the Add->Add Document option from the main menu. You will be given the chance to search for existing documents already associated with other campaigns. To add a new document click the Add->Create New Document option
Having added the document to the Campaign, click the publish tick box to publish the document to the IC_CE_Pro vacancy details page for this campaign.
When the candidate clicks to view the details of the vacancy, the number of published documents will be displayed on the Documents tab. The candidate can click on this tab and download any of the published documents
Configure the number and type of documents the candidate is asked to upload as part of their application
During any vacancy application process the candidate is normally asked to upload a document in support of their application – E.G. a CV/Resume
For some vacancies it can be beneficial to ask the candidate to upload multiple documents in support of their application – E.G. CV + Application Form or perhaps a CV + covering letter.
Using Interview Coordinator you can configure the application process (for each vacancy) to require the candidate to upload up to 3 documents in support of their application. You can also configure the type of document required and the wording of the label which describes the upload request field.
To configure the number of documents to ask the candidate to upload, select the appropriate Campaign record and navigate to the Campaign Settings tab. Click the “Configure” button to start the “Configure Application Documents Wizard”
When a CV/Resume is uploaded the logic which saves the file to the IC database is different than for a non-cv file. The CV upload logic will check for the existence of configured keywords or phrases within the document and provide a % success score. For non-cv documents this logic is not applied.
Using the Wizard screen for each of up to 3 documents:
- Select the Document type “CV” or “Other”
- Enter the description of the document
- Enter the label value to be shown on the IC_CE_Pro pages (E.G. “Please upload your completed application document”)
- Enter a comma delimited list of valid file types (E.G. DOCX,DOC,PDF,TXT) or use “Any” to allow any file types to be uploaded
Only one CV type document can be uploaded at any one time. On clicking to Exit the wizard the configured values will be saved to the database and the “No. Of Applicaiton Documents” field will be updated with the number of supporting documents required.
The configured values will automatically be published to the IC_CE_Pro site, when the campaign is next “Posted”
Configure the number and content of any application questions the candidate is asked to answer as part of their application for the vacancy
Using Interview Coordinator you can configure a set of questions for 4 different stages of the recruitment selection process : Application Questions; Online screening questions; Telephone interview questions & Face to face questions
If you choose to create and publish a set of Application questions for any specific Campaign, the candidate will be asked to respond to those questions as part of the IC_CE_Pro application process.
When you configure Application questions for a Campaign, you can choose whether the candidate should respond with a text answer or with a video answer (or both). Configure Application questions on the “Interview Questions” tab of the Campaign record in Interview Coordinator.
Where Application questions are configured and published, the IC_CE_Pro pages will ask the candidate for their personal details, then ask the candidate to upload one or more supporting documents and then display a message explaining they also need to answer a set of application questions to complete the application process.
On completion the candidate responses to each question will be saved to the Candidate record in the Interview Coordinator database.
Configure the content of the notification email sent to the candidate on completion of their application.
You can edit all the editable email templates using the using the “Admin->Edit Account Variables-function on the IC Home page.
The template used for sending the application confirmation email is called “Candidate Apply Notification” under “System Email Templates”. You can edit the Plain Text and HTML content of the email and also the subject line. (See IC help pages for further details)
